1.0 Introduction

People in the world communicate with each other in their normal life.  The connection is necessary for every person because it is the way to share and deliver the ideas between them.  The ways of connecting are increased nowadays and be easier than before.  People in the past had difficulties to communicate with each other if the distance between them are too far.   However, the new technology in communication let people connect easily even they are from different countries or continents and find out new ways of communication.

2.0 Methods of Communication

 

 

2.1      MSN Messenger

People use MSN Messenger program to chat and make converse between each other by sending instead messages. MSN messenger Program has many other properties such as sharing the files and video conversation.  MSN Messenger real helps the users to be in contact all the time.  For example, if a user is offline and another user want to say something to him, he will send an offline message that the user can read it when he will log on later.    MSN Messenger can be installed in the computers, laptops and the mobile phone.  If you have a laptop or computer you have to connect it to the internet to start chatting.  Some mobile connect with the wireless to reach the internet and start to use the MSN messenger.  Some other mobiles do not have wireless and they have to connect for example with the web using 3G (Reed, 2011).  3G is a technology that lets the mobile phones to access the internet, but to use this service, the users have to pay charges for the telecommunication companies.  There are many similar programs as MSN Messenger that let the users to talk with each other such as Yahoo Messenger and AIM Messenger.   


2.2      Letters

Sending the Letters is an old way to communicate with each other.  However, the people still use it because they can send the original and official copies of the documents.   The normal procedure for this method of communication is that the sender writes the letter and put it in an envelope.  Then write the name and address of the consignee who will receive the letter.  The address should be clear and enough details to make sure that the letter delivered to the right person.  The address information which the mailman needs them are the number of the Post Office box, name of the city, the country and the name of the person.  Also the sender should stick postage stamp on the cover of the letter.  The value of the stamp is increase depend to the distance which the letter have to reach.  The sender also has to write his name and address on the envelope incase if the consignee address is wrong or he did not receive the letter.

2.3      Meetings

The meetings are very good way to communicate with the members of small group.  There are many advantages for the meetings.  For example, all members of the group can say their opinions and discuss them for each other.  Moreover they can evaluate the members’ ideas and how to apply them in real.  There are many proposes for the meetings. For example, problem solving, decision making, planning, and evaluating the jobs (Smith).  It is not necessary for the meetings to be in room and meet the members face to face.  The meeting can be also by doing conference call by mobile phone with the group members if they are far away from each other.  In addition, they can use some tools in the meetings to clarify the ideas in simple way.  For example, they can present their ideas to the group members by doing presentations using Microsoft PowerPoint. 

2.4      Newspaper

The newspapers are good way to publish the news, reports, stories and photos.  The normal Newspapers are publishing daily.  The people like the newspapers because they feel they are in contact with the world.  Almost all world important news is written in the newspaper.  The newspapers have many sections such as economy, sport and international news.  The newspapers nowadays are not only in paper, you can found electronic copies of the newspaper also by visiting their website.  The websites of the newspapers have archive for the old newspaper the people can read them in anytime later if they miss something.  In the UAE, there are many newspapers in Arabic language such as Al Ittihad and Al Khaleej.  There is also newspaper in English language called the Gulf News published in UAE.

3.0 Communication in the Workplace

 

3.1      Noticeboards

In my work place in Strata Manufacturing, the one of the most important ways to communicate is the noticeboards.  It is very important for the operators because it helps them to do the works in right way, understand the procedures and avoid the mistakes.  For example, the supervisor of the section sets the plan of the work and draws the charts which contain the work the processes in the noticeboard.  Every morning when the work is starts, the supervisor do a small meeting with the operators who works in his section.  The supervisor stands beside the noticeboard and start explaining the plan for the day.  The operators who miss the meeting can get the ideas later from the noticeboard.  Moreover, the supervisor sometimes is capturing photos using the camera for the mistakes which the operators did in the parts which manufactured by them.  The supervisor prints these photos and sticks them in the noticeboard to show it to the operators and avoid these mistakes in future.


3.2      Emails

The emails are very important way to communicate in my work place.  We are using it for many reasons.  For example, we get the all news related to our works by the Email.   I mean the news such as holidays, events, new projects and new employees.  Moreover, it is very good way to communicate directly with the head managers.  The employees can deliver their ideas easily to the head managers by writing whatever they want in the email and send it to the managers.  In addition, sometime I use the email in my work place when I want to order new materials.  For example, I send an email to my manager ask him to provide me with a roll of carbon fiber to cover the lack of material in the workshop. 


3.3      Presentations

In my work place, the employees are doing presentations for many purposes.  Almost all presentations which we are do them in the work place prepared by using Microsoft Office PowerPoint.  For example, when a new employee join the company, the other employee will prepare a small presentation explaining the history of the company, roles of the company and sections of the company to make clear idea for the new employee about his company.  Moreover, our managers are always doing presentation for the operators to explain to them about the new projects which they are going to handle.  Onetime, my manager asked me to prepare a presentation about Ramadan month to present it to the foreign employees to show them the importance of this month for the Muslims. 


3.4      Meetings

In my work place, the employees are doing meetings with each other so many times. For example in my section, normally we are doing two meeting daily.  The first meeting is in the morning before we start the process, to show the plan and divide the jobs.  The second meeting is in afternoon when we finish the work, to show the results and the performance of the team.  Moreover, the meetings are not necessary to be with big groups.  Some time in my workplace, the manager is doing meetings with only one person.  The advantages of this way are that the employee feel free to say whatever he want and make the manager understands what the employee needs.  In overall, the most of problem solving, decision making and planning in my workplace are happened in the meeting rooms. 

4.0 Communication Channels in the Workplace

 

 

4.1      Emails

In our workplace the emails are a way to send and receive the information between the employees.  In my section which is the workshop, when the head manager want to inform us about something such as the new projects. He sends an email to our supervisor and then the supervisor prints copies of the email and give it to the operators.
I think we can improve this way if the supervisor forwards the email which sent by the manager to the operators emails directly.  He will be sure that everyone has a copy of the email and the he also did not waste paper anymore.  

 

 

4.2      Newspapers and Televisions

Some time in my workplace, the Human recourse Department is publishing advertisements in the newspapers about the available jobs.  The advertisements include the job titles, the workplace, the requirements, the salary and the benefits.   It is good way to attract the employees to the company.  However they have to pay money for the newspaper.
The HR Department can get better results of these advertisements.  They can do advertisements and then display them in the televisions.  This kind of advertisements will reach to more people even outside the country.  This advertisement costs more money.  However, they will get better results.


4.3      Meetings and Telephones

In my workplace, some time the head manager asks the supervisor of the work shop to meet together in the meetings room.  Mostly, the both of them meet and nobody else joins them.  The manager most of the time set the solutions of the problems and give feedback about the operators’ jobs and other information related the work and its performance. These meetings even they are very important but they affect the performance of the work in the workshop because the supervisor stays longtime outside the workshop.  The operators need the supervisor to guide them to do the jobs in best way.
We can improve this way of communication easily.  It is not necessary for the manager to meet the supervisor face to face.  The manager can shorten the time and distance by using the telephone.  The manager will speak with the supervisor using the telephone.  The supervisor has to write the important notes in t a sheet and he still in his office beside the operators.

5.0 Method and Channels of communication could be use in the workplace

 

 

5.1      Web Forums

The company can build a web forum for the employees and.  It is very good way to communicate with each other.  The employees can enter to the forum by using their laptops, iPhones and Blackberries.  For example, if someone of the employees has an idea and he want to apply it in the workplace but he wants to see the employees’ opinions.  He can see their opinions by creating a thread and write his idea then post it in the forum.  The other employees and managers will read the thread and post their opinions. 
All employees have a chance to say their opinion and this let them share the information easily.  This will let the employees contact with the managers even they are outside the workplace.


5.2      Blackberry

I think it is very good idea if the company provide a BlackBerry for each employee. The blackberry has many advantages in the communication.  I will show you two advantages of them. Firstly, the employees can send and receive the emails easier than before and from anywhere.  The Blackberry is too light and the employees can carry it everywhere.  Secondly, the users of the Blackberry can use Blackberry Messenger software which allows them to send instead messages.   Moreover, it is allowing them to create groups to chat and share pictures with the group members in onetime.
The Blackberry makes meetings easier.  The employees can meet together any time by using the group property in the Blackberry Messenger.  This will let them to be in contact all the time.


5.3      Facebook

The Facebook is one of the most popular websites in the world.  I think the managers in my workplace should create account for the company in the Facebook.  They will do a free advertisement for the company by writing details about the company and publish them.  Surely it will reach for thousands of people around the world.  It is also a good way to get feedback from the people around the world which will help them to come out with new ideas.
